We authorize advertising in our facilities in several formats. Please review the following guidelines and follow the instructions provided.
All digital screen advertising is limited solely to Indiana University departments and student organizations. The purpose of all digital screen content is to inform students of campus events, news, public service announcements, and services. All information must fit on one slide.
We will not accept the following ads:
- Containing material that is deceptive, false, or misleading
- Encouraging or promoting unlawful conduct, or the possession or use of unlawful goods or services
- Promoting the sale or use of alcohol, firearms, or tobacco
- Relating to political campaigns, candidate advocacy, or issues
- Violating the exclusivity terms in Indiana University contracts
Screens will publish content according to the following usage priority:
- IU emergency messages
- Residence Hall Association
- IU departments and student organizations
RPS reserves the right to decline advertising requests and to stop announcements before the end date to accommodate IU emergency messages and RPS information.
Image files must adhere to the following conditions:
- 1375 x 925 pixels
- 72 dpi
- 25 words or less
- JPG or PNG format
- File name must include date (mm-dd-yyyy) and title (ex. “New Student Orientation 08-20-2019”)
- Be in a horizontal orientation
- Image must include the date, location, and name of the event
For questions, email firstname.lastname@example.org. In the subject line, include “DIGITAL SIGNAGE” and the file name of your slide (ex. “DIGITAL SIGNAGE New Student Orientation 08-20-2019”).
Displaying flyers and posters is a courtesy. The residential life staff must approve all flyers and posters distributed to any center. Email a copy of your flyer or poster to email@example.com for review.
Materials must be submitted more than three days before the event. No materials will be posted more than two weeks before an event and will be removed within two weeks after the event. Non-dated flyers or posters will be removed on the 15th and last day of each month. Approved postings will be placed in the common areas of the residence halls. Union Street Center does not allow any postings in their building.
If approved, bring 28 copies of your flyer or poster to the Nelson Administration Building (room 220 or 221), 801 North Jordan Ave. RPS staff distributes and posts materials.
Center-Specific Postings: The center staff must approve center-specific postings. Community educators, recreation sports leaders, resident assistants, and residence center student government officials can advertise in their buildings.

All flyers and posters must be between 8.5 inches x 11 inches to 11 inches x 17 inches, be written in English, or include English translation, contain the event date or a date to post written on the back of the flyer or poster, promote a specific event or activity, and contain as much information as possible, including but not limited to the contact information, date and time information, location, sponsor, and title.
We will not accept flyers or posters advertising any competing housing options, degrading any group or individual, sexually explicit flyers or posters, or flyers or posters containing obscene or defamatory language, referencing the use, sale, or consumption of alcohol, tobacco, or marijuana, submitted electronically, or violating university policy or federal, state, or local laws.
We send a weekly electronic newsletter to all IU residents during fall and spring sessions. Summer newsletters are sent as needed. We limit announcements to RPS news, procedures, services, sponsored events, and RHA activities.
In Touch submissions must contain the event description, location, time, and title. Please also include the name of the sponsoring department and publish date(s). Inclusion and scheduling of In Touch content is subject to approval. Space is limited.
